Back to School Shipping: Send Supplies to College Without the Road Trip

## Why ship instead of drive?
The math is straightforward. A round trip from Hardin County to a Kentucky in-state college runs 200-400 miles, plus gas, plus a hotel if you stay overnight. A round trip to an out-of-state college can cost 600-1,200 dollars in fuel, lodging, and food before you factor in your time.
Shipping a typical dorm setup (4-6 boxes plus a couple of larger items) usually runs 200-400 dollars total to most US destinations. If your student is flying or you are working a regular schedule, shipping wins on both money and time.
The key is using the right service for each item, packing for ground transit, and timing the shipment so the dorm mailroom is ready to receive.
## What carrier is cheapest for college shipping?
Depends on the item.
| Carrier | Best For | Notes |
|---|---|---|
| USPS Ground Advantage | Boxes 1-25 lbs, books, dense items | Often cheapest under 25 lbs to most ZIPs |
| USPS [Priority Mail](/shipping-usps-radcliff-ky) Flat Rate | Heavy small items (books) | Flat $10-22 boxes regardless of weight |
| UPS Ground | Boxes 25-150 lbs, large items | Reliable transit, good tracking |
| FedEx Ground | Boxes 25-150 lbs, electronics | Often comparable to UPS, sometimes cheaper |
| FedEx Home Delivery | Residential addresses | Slightly cheaper than Ground for home delivery |
[USPS Ground Advantage](https://www.usps.com/ship/ground-advantage.htm) replaced Retail Ground in 2023 and offers 2-5 business day delivery at competitive rates. [USPS Priority Mail Flat Rate](https://www.usps.com/ship/priority-mail.htm) is the right call for textbooks and dense items because the box price covers anything that fits inside, up to 70 pounds.
For mini fridges, microwaves, and large bins, [UPS Ground](https://www.ups.com/us/en/services/shipping-services/ground.page) and [FedEx Ground](https://www.fedex.com/en-us/shipping/ground.html) compete closely. Rates depend on origin ZIP, destination ZIP, and dimensional weight. A pack-and-ship store can quote both and pick the cheaper one in real time.
## What size boxes work best for dorm shipping?
College mailrooms have size limits and shelf space. Oversized boxes get refused or held in overflow. The sweet spot is 18 x 18 x 18 to 18 x 18 x 24, which carries a typical dorm subset and fits standard mailroom shelves.
Recommended box loadout for a typical dorm setup:
- 1 large box (24 x 18 x 18): bedding, comforter, pillows
- 2 medium boxes (18 x 14 x 12): clothing, hangers
- 1 medium box: textbooks and supplies
- 1 medium box: bathroom and personal care
- 1 medium box: kitchen and dorm-room kit (mug, plate, utensils)
- Original box for: mini fridge, microwave, fan, lamp
Total: 6-8 boxes. Most dorms accept this volume without issue. Larger setups (full apartment moves, off-campus housing) may need a different approach, like consolidated freight, which we can also book.
## Should I use Priority Mail Flat Rate for textbooks?
Almost always, yes. Textbooks are heavy and dense, and weight is what kills regular ground rates. A flat-rate box charges by box size, not weight, so a 30-pound textbook box still ships for the box price.
[USPS Flat Rate](https://www.usps.com/ship/priority-mail.htm) options:
- Small Flat Rate Box: 8.6 x 5.4 x 1.6 in, ~$10 (4-5 paperbacks)
- Medium Flat Rate Box: 11 x 8.5 x 5.5 in, ~$18 (6-8 textbooks)
- Large Flat Rate Box: 12 x 12 x 5.5 in, ~$23 (10-15 textbooks)
If you can fit it in the box and it weighs less than 70 pounds, it ships for the flat rate. Books almost always come out ahead of dimensional-weight ground.
For non-book items, flat rate rarely wins. Standard ground beats it for most clothing, bedding, and personal items.
## How do I address a package to a college student?
Every college mailroom has its own addressing format, and the wrong format gets the package returned. Check the school's mailroom or "campus mail" page on its website before shipping.
Common formats:
```
[Student Name]
[Student Mailbox / PO Box / Residence Hall]
[College Name]
[Mailroom Address]
[City, State ZIP]
```
For example:
```
Jane Doe
Box 1234
University of Kentucky
410 Administration Drive
Lexington, KY 40506
```
Some schools require the residence hall name and room number. Some use a centralized PO box. A few large universities require the student's UID. Get this wrong and packages either return to sender or sit in an unclaimed bin until end of semester.
[The College Board](https://www.collegeboard.org/) maintains general guidance, but the school website is the authoritative source. Always.
## When should I ship dorm gear for the fall semester?
Most colleges open mailrooms 1-2 weeks before move-in day. Shipping windows:
- Ground services (UPS, FedEx, USPS Ground Advantage): 7-10 days before move-in
- Priority Mail (2-3 day): 4-5 days before move-in
- Air services (UPS Next Day, FedEx Express): 1-2 days before move-in
Some schools refuse early shipments. Some hold them in overflow until the official receiving window opens. Check the school's housing or mailroom page for the receiving start date before you ship.
For spring semester returns, send packages 5-7 days before move-back. The post-holiday backlog at carrier hubs adds 1-2 days to standard transit times.
## Can I ship a mini fridge or microwave?
Yes. Both ship via UPS Ground or FedEx Ground in their original boxes with extra exterior cushioning. Best practices:
- Use the original retail box (manufacturers design for shipping)
- Add a wraparound layer of bubble wrap or foam outside the retail box
- Place in an outer shipping box with two inches of cushioning around the retail box (double-box method)
- Mark THIS SIDE UP and FRAGILE
- Insure for the replacement value
Mini fridges run roughly 35-50 pounds. Microwaves run 25-40. Both fall well within UPS and FedEx ground weight limits. Expect 3-5 business days transit to most destinations.
If you do not have the original box, [our store](/packing-supplies-radcliff-ky) stocks appliance boxes that fit standard dorm-sized fridges and microwaves with foam-in-place cushioning.
## How do I ship a care package mid-semester?
Care packages are smaller, mostly food and small comforts, and they ship best in flat-rate or small ground boxes.
What goes well in a care package:
- Non-perishable snacks (chips, granola bars, candy)
- Sealed baked goods (cookies in tins, brownies vacuum-sealed)
- Hot cocoa, tea, coffee
- Small comforts (socks, blanket, dorm-friendly decor)
- Gift cards (Amazon, restaurants near campus)
- A handwritten note
What does not ship well:
- Anything refrigerated or frozen
- Fresh fruit or baked goods (mold in transit)
- Liquids over 4 oz (USPS restrictions on certain items)
- Aerosols (USPS prohibits, others have rules)
- Anything melting in summer heat (chocolate, gummies)
[USPS Priority Mail Flat Rate Medium](https://www.usps.com/ship/priority-mail.htm) (~$18) is the right size for most care packages and gets there in 2-3 days.
## What about international students?
If your student is studying abroad or you are sending to an international student in the US, the rules change.
For US-to-international shipments:
- Use [USPS International](https://www.usps.com/international/) Priority Mail or UPS/FedEx International services
- Fill out a customs form (CN22 or CN23 depending on value)
- Declare contents accurately to avoid customs holds
- Expect 7-21 days transit for international ground
Some destinations have restrictions on food, liquids, and electronics. Check the destination country's customs page before shipping, or [bring it to our store](/international-shipping-radcliff-ky) and we handle the customs paperwork.
## Should I do this myself or use a pack-and-ship store?
Do it yourself if you have boxes, supplies, and time, and if you know which carrier wins for each item. Bring it to us if you want the math done in real-time, the boxes packed correctly, and the carriers booked from one counter.
Horizon Pack and Ship at 734 Knox Blvd, Radcliff, (270) 319-4145, and 207 Towne Dr, Elizabethtown, (270) 900-1553. We are open Monday through Saturday, 9 AM to 6 PM. We handle UPS, FedEx, USPS, and DHL from both locations.
Drop the load off, tell us where it is going, and we pick the cheapest carrier for each box. Most customers save 30-50 dollars on a typical 6-box dorm shipment versus winging it at a single-carrier counter.
